CUT COSTS, NOT CORNERS

Managed Print Services

Take Control of your Print Environment

Reduce Costs Today

Managed Print Services remain one of the most effective ways for organisations to control operational expenditure, and while many already operate under a managed print contract, not all managed print services are created equally. The difference lies in how transparently costs are controlled, how well fleets are optimised, and how effectively print is governed.

Datapac delivers commercially competitive Managed Print Services designed to reduce Total Cost of Ownership (TCO) while introducing structured fleet oversight, measurable reporting, and long-term optimisation. From pay-per-print pricing to device lifecycle management and consumables automation, we treat print with the same discipline and rigour as we would to the rest of your IT environment.

At Datapac, we combine over four decades of experience in both IT Supplies and Technology, to deliver a service that realises cost benefits without compromise to your overall IT environment.

Managed Print Services for Modern Workspaces

Cost Control & Commercial Transparency

We reduce print costs through process-driven optimisation, not just lower pricing.

Device placement and specification are aligned to real usage patterns, reducing over-specification and under-utilisation, while lifecycle planning ensures the environment remains efficient and consistent.

Our clear pay-per-print pricing removes ambiguity across the print estate, while our structured cost model eliminates hidden charges and avoids large upfront capital expenditure, allowing print budgets to be forecast and managed more effectively.

We bring together hardware, maintenance, and consumables in a single, structured agreement, reducing fragmentation, simplifying supplier management, and creating a more controlled and consistent operating model.

We provide detailed insight into usage, performance, and total cost of ownership. This enables more informed decision-making, allowing inefficiencies to be identified and addressed as part of an ongoing optimisation approach.

We align device placement and specification to real usage patterns, reducing over-specification and under-utilisation. Our expert lifecycle planning ensures the environment remains efficient and consistent over time.

Fleet Assessment & Optimisation

We align your print environment to actual usage, then continuously improve it over time.

Our experts assess your existing print environment to identify inefficiencies. Your print fleet is then optimised and managed through a structured lifecycle aligned to how your organisation actually operates.

We identify devices that are underused or no longer required, reducing unnecessary cost and simplifying the overall print environment without impacting accessibility.

We ensure that devices are aligned to actual usage requirements, avoiding over-specification while ensuring performance is appropriate for each user or department.

We analyse usage patterns to reduce waste and improve efficiency, ensuring consumables are used in a more controlled and cost-effective way across the fleet.

We ensure devices are configured consistently across the environment, improving reliability, simplifying support, and reducing variability in user experience.

Environmental Responsibility

We deliver environmentally sustainable print through how we design and manage each customer’s estate over time.

We reduce waste and energy consumption through appropriate fleet consolidation and device sizing combined with controlled print behaviours such as duplex and secure release.

Our defined lifecycle approach ensures responsible handling from deployment through to decommissioning, while our continuous reporting delivers visibility into print volumes and trends. This allows consumption to be managed  more deliberately and aligned to broader ESG objectives.

Questions about Managed Print Services?

Managed Print Services provide outsourced management of an organisation's print environment, covering hardware, maintenance, consumables, monitoring, and optimisation under a single service agreement. Rather than managing printers reactively, organisations get a proactive, fully supported print operation without the administrative overhead.

Savings vary depending on fleet size and current inefficiencies, but a structured fleet assessment typically identifies opportunities to reduce device count, remove over-specification, and improve consumables management. Immediate print savings of 40 to 60 percent are not unusual with new customers.

No. You pay based on actual usage from the previous month, so your costs reflect what you have actually printed rather than a fixed volume you may or may not reach. There are no penalties for printing less than expected.

Pay per print is a pricing model where organisations pay based on actual usage rather than purchasing hardware and supplies separately. It removes the unpredictability of print costs and replaces multiple supplier relationships with a single, transparent monthly charge.

Our systems receive low toner alerts directly from your devices. When a replacement is needed, we dispatch it to your address automatically. We also provide a collection box for used consumables, and when it is full, we arrange collection at no additional charge.

Our typical contracts run for 36 or 60 months. If your requirements change during the term, we can upgrade or change devices to match, so you are never locked into a configuration that no longer suits your business.

In many cases, we are alerted automatically before you are even aware of an issue. We will attempt to resolve it remotely first, and if an on-site visit is required, an engineer will attend under the agreed service levels at no additional cost to you.

Yes. Modern print devices contain storage and network connectivity and should be governed as part of the wider IT estate. Managed Print Services introduce security configuration, firmware control, and user authentication features that reduce the risk of the print environment becoming an unmanaged vulnerability.
