Where Ad-Hoc Hybrid Meetings Fall Short

The shortcomings of a poorly equipped hybrid meeting room are rarely obvious until a meeting is already underway. By then the friction has already set in, and depending on who is in the meeting, so has the impression it leaves. The issues tend to follow a consistent pattern across organisations.

A standard camera captures very little of the room and makes it challenging to distinguish between speakers. What’s more, a basic microphone or laptop audio picks up extra background noise and delivers inconsistent volume and clarity between speakers. In this setting, the experience for someone joining remotely is far from ideal, and can directly impact how much they can contribute and how included they feel in the meeting.

Client meetings, partner calls, and senior discussions require a standard of experience that a makeshift hybrid setup cannot reliably deliver. As a Microsoft Solutions Partner for Modern Work, we have deep accreditation across the Microsoft Teams and Teams Rooms stack.  We deploy fully integrated Teams Room solutions that create a one-touch join experience, where starting or joining a meeting requires minimal steps and the room behaves consistently every time it is used.

Inclusive Hardware

The hardware in a meeting room determines the quality of the experience for every participant. We work primarily with Poly, a HP company. Smart cameras with automatic speaker tracking, high-quality audio bars, and properly specified room displays are selected and configured for the specific room, not applied as a generic package.

A Microsoft Teams Room is a dedicated meeting room setup that integrates certified hardware directly with Microsoft Teams, creating a seamless experience for both in-room and remote participants. Rather than relying on a laptop brought into the room, the space itself is configured to run Teams meetings natively through a room controller and dedicated display.

A standard hybrid meeting room includes a smart camera with automatic speaker tracking, an audio bar or dedicated microphone system, a room display, and a touch panel controller. The specific configuration depends on the size and layout of the room.
